This policy explains how Kovi Carpets & Flooring Ltd ("Kovi", "we", "us") handles personal data when you use kovi.co.uk, book a home visit or get in touch. We're the data controller for the information described below.

Who we are

What data we collect and why

• Home-visit enquiries. If you book a free home visit or request a quote, we collect your name, phone, email, and address so we can turn up and quote your job. Lawful basis: performance of a contract (or steps taken at your request before entering one).
• Basket & saved items. Products you add to your basket or wishlist are stored in your browser's local storage. They stay on your device — they aren't sent to us until you submit an enquiry or make a booking.
• Website analytics. If you accept the analytics cookie, we may use aggregated data to see which pages get visited and how the site is used. We don't sell or share this data.
• Server logs. Our web host (Railway) keeps standard request logs (IP address, browser, URL, timestamp) for a short window to run the service and defend against abuse.

Cookies and similar technology

We use a small number of cookies and browser-storage items:

• Essential. Session and preference storage so basic features work — cart contents, saved items, whether you've dismissed the welcome popup, cookie choice. These don't need consent.
• Analytics (with your consent). If you tap Accept all on our cookie banner we may load a small amount of website analytics to understand what's working. You can change your mind any time via the "Cookies" link in the footer.

We don't use any third-party advertising or tracking cookies.

Who we share data with

We only share personal data with the third parties we need to run the service:

• ServiceM8 — powers our online booking form. When you book a home visit, your contact details are sent to their platform so we can schedule the visit.
• Our own operations hub (hub.kovi.co.uk) — where we store your enquiry and job details on our own private system.
• Railway — hosts this website (server logs only).
• Google — if we've loaded a Google Maps embed on the Contact page, Google may set standard cookies to render it. We don't share any personal data with them.
• WhatsApp — if you choose to WhatsApp us, Meta's terms apply for your side of that conversation.

We do not sell your data. We don't share it for marketing purposes.

How long we keep data

Enquiries and job records are kept for as long as we might need them for our own accounting, tax and warranty obligations (typically 6 years for HMRC purposes), then deleted. If you'd like your data removed sooner, just ask — see below.

Your rights

Under UK GDPR you have the right to:

• Ask for a copy of the personal data we hold about you
• Ask us to correct anything that's wrong
• Ask us to delete your data, unless we're legally required to keep it
• Object to certain uses of your data
• Complain to the Information Commissioner's Office (ICO) if you think we've mishandled it

Children

Our services are aimed at homeowners and tradespeople. We don't knowingly collect data about anyone under 18.

Changes to this policy

If we change how we handle personal data we'll update this page and change the "Last updated" date at the top. Substantial changes will be flagged on the home page briefly.
